Get started with OTA Sales Workspace

A basic guide to organizations, projects, and the OTA workspace.

VI

OTA Sales Workspace helps you manage accommodation projects and related work at ota.workcloud.vn. This is an introductory guide; the actions available inside a project depend on your access rights. See workspace concepts if the terms are new to you.

1. Sign in and prepare an organization

You need a WorkCloud account. Sign in to WorkCloud, then open Organization management to review your organizations or create one. When creating an organization, provide a name and slug.

To create an OTA project, you must be an Owner or Admin of an active organization. If you belong to an organization but cannot select it when creating a project, ask its Owner/Admin to check your role. If you already own an organization, WorkCloud may prevent you from creating another; you can use an existing eligible organization instead.

2. Create a project

Once your organization is ready, go to Create an OTA project:

  1. Select the organization that will own the project and choose a template (or keep the default).
  2. Enter the project name and the property's name and type.
  3. Enter the client's contact name and email; you can also provide a province, address, and phone number.
  4. Select Create project. On success, OTA opens the new project's overview.

If there is no eligible organization, the project creation page links back to Organization management. That link does not itself grant permission to create a project.

3. Explore your project

Open the Project dashboard and select your project. Depending on your access rights, its menu lets you:

  • Update property details, facilities, and rooms under Property, Facilities, and Rooms.
  • View or manage OTA channel accounts, rates, promotions, bookings, and availability under OTA Accounts, Rates, Promotions, Bookings, and Availability.
  • Collaborate internally through Tasks, Workload, Notes, Services, Documents, Media, and Team.
  • Read authorized metrics under Points, Finance, Reports, and Approvals.
  • Review Activity, or manage configuration, sharing, and lifecycle under Settings if authorized.

Missing a menu item? Navigation only shows features allowed by your current access. Archived projects may still expose historical data, but editing is restricted.

4. Find your way back

This is a starting point. Continue with bookings, availability, tasks and workspace operations, project settings and access governance, reports and sharing, or access rights. See also OTA channels and accounts.
