Reports, approvals, and sharing
Draft reports, publish snapshots, and distinguish client portal access from guest links.
Open a project → Reports with report-read access. Writing, reviewing, and publishing require separate permissions on a non-archived project. Roles and sharing scopes control which audience sees each item.
Draft and publish a report
Select New report with write access. Fill in the reporting period and content, choose an Internal or Client preview audience, and Save draft. Submit the report for a reviewer to approve or request changes; provide a reason for requested changes. An authorized publisher can publish after the review flow, producing a versioned snapshot. Neither a draft nor a preview is a published or shared report. Archived projects retain readable report/snapshot history but prohibit new edits or publication.
After selecting a published snapshot, an authorized user may request client approval. To designate an authenticated client, sharing permission and an active client link with the Approver role are needed. Without that sharing capability, the applicable request mode is Guest under the granted sharing rules. Approvals lists internal requests; the right to decide is evaluated on each request.
Two ways to grant client access
- Client portal: in Settings, a user with share-management permission grants an account email Viewer or Approver access, optionally limited by start and end time. The recipient signs in to the client area to see their project, published reports, and designated approvals. Only an Approver with
canDecideon a non-stale request can decide; requesting changes or rejecting requires a note. Access can be revoked in Settings. - Guest link: in Settings → Guest share, an authorized user creates a time-limited link, optionally restricts email or adds a password, and chooses read, comment, approve, file, and album permissions. Deliver the link privately; never paste a token or password into documentation or public notes. The recipient opens the Guest portal and supplies any required unlock details. Available sections depend on the link's permission mask and permitted content. A link may expire or be revoked.
Share only the approved version with the intended audience. If a request is stale, the report has changed, or a guest session has expired, refresh and ask the project manager for appropriate access rather than reusing an old decision. See Project settings and access governance to manage client access, guest shares, and ownership, or see the FAQ.
