Tasks, team, and workspace operations
Track tasks, workload, notes, services, documents, media, and project activity.
Open an active project. Each menu section has separate access checks; if an item or action is missing, ask the project manager to review roles and capabilities. Archived projects allow only authorized historical reading.
Create and follow tasks
Choose Tasks → Create task when you have create permission. Use list or calendar view, keyword search, and status, priority, assignee, department, or due-date filters to find work. Open a task for details, progress, schedule, parent/child tasks, dependencies, handoffs, contextual notes, discussion, attachments, and activity when allowed.
Create, update, assign, handoff, and review are separate rights. Changing status also depends on task state, requester/assignee, and department. A visible button is not a guarantee that the server will accept a change. Use My tasks to follow accessible work across projects.
Workload, Notes, and Services
- Workload is a read-only, task-derived view at the displayed point in time. Use department, assignee, status, priority, and deadline metrics to coordinate work; it is not capacity forecasting, revenue reporting, or a financial KPI.
- Notes store structured notes. You can search/filter by category, priority, visibility, status, and pinned state; authorized users can create, edit, or archive a note. Check visibility and linked resources before entering content.
- Services manages a project service catalog by category, visibility, and status. Authorized users can create, edit, or archive entries; financial detail and asset/document associations appear or can be changed only with the applicable permissions. Do not place costs or sensitive information in a scope broader than necessary.
An archived project can retain authorized historical views but blocks new changes.
Team and departments
Open Team if you can manage members, advanced permissions, or departments. Depending on your rights, add a member by email with an assignable role, change a role, revoke a member, or manage departments. Role management has target-role restrictions: you cannot arbitrarily replace an Owner or grant rights beyond your own. Advanced permissions require the corresponding capability; effective project access determines what the member can actually do. Organization ownership and membership may also restrict adding users.
Documents, Media, and Activity
- Documents: read documents and versions with read access; manage records with document-manage permission. Uploading a new file version additionally requires
content.mutate. Check visibility before sharing. - Media: this is the canonical area for Albums, Files, and Storage. Use the media library to upload, search, filter, sort, download authorized files, and associate media with a property or room. Legacy Files routes redirect to Media. Reading alone does not allow uploading or permanent deletion; storage quotas and file-type limits can prevent an upload.
- Activity: read the project activity feed and load more entries when available. It shows authorized events; it is not an editor for historical events.
If an action fails, review access, project status, and the latest record version before retrying. Next: Project settings and access governance or Reports, approvals, and sharing.
